How to Write an Out-of-Office Reply That Works for International Customers

An out-of-office reply has one job: tell the sender when they’ll hear back and what to do if it’s urgent. Most OOO replies fail this for international senders because they use time references that have no meaning without a time zone.

The problem with the standard OOO

“I’m out of the office from 20–27 June and will respond when I return on Monday 28 June.”

A customer in Tokyo reading this at 9am JST on Monday 28 June is already in their Monday morning. The sender in New York starts their Monday 14 hours later. Is the reply coming today or tomorrow?

A customer in Dubai on Friday 26 June has a Friday–Saturday weekend. “Monday” is a normal working day for them. They expect a reply Monday. So does the sender. But the sender’s Monday is 13 hours after theirs.

What to write instead

Specify the return date with a UTC time:

I’m out of the office 20–27 June. I’ll be back and responding from Monday 28 June at 09:00 UTC (5am New York / 10am London / 5pm Singapore).

Every recipient, regardless of time zone, can now calculate exactly when they’ll hear from you. No guessing required.

If you’ll check email occasionally while away:

I’m out 20–27 June. I’ll check email occasionally, but you can expect a full reply from 28 June at 09:00 UTC.

Always include an escalation path for urgent matters — name a specific person or address, not just “our team.”

For customer-facing inboxes

Frame it around the team’s return:

Our team is observing a public holiday on 19 June. We’ll be back at full capacity from 20 June at 01:00 UTC (9am Manila / 3am London / 10pm New York on 19 June).

Tickets received during this period will be answered in order. Estimated response time: within 12 hours of our return.

A few things worth noting

Your holiday may not be their holiday. A Christmas OOO means nothing to customers in Japan, India, or the Gulf — 25 December is a normal working day in most of those countries. Briefly name the reason:

I’m taking time off for the Christmas holiday (25–26 December).

If you’re on reduced hours rather than fully out, say so and say for how long:

Our team is on reduced hours 24–26 December. Response times during this period will be 12–16 hours rather than our usual 4–6. We’ll return to normal from 27 December at 01:00 UTC.

Before activating any OOO, check that it includes the full return date (not just “Monday”), a UTC time, at least one major city equivalent, and an escalation path for urgent issues.
